Melbourne CBD office relocations: freight-lift bookings, dock permits, and 3 timing tricks that save $2,000

A Melbourne CBD office move that runs on a Tuesday afternoon costs 40% more than the exact same move on a Sunday morning. Not because of overtime — because of freight-lift access, dock windows, and cascading crew hours. Here's how CBD moves actually work.

Why CBD office moves cost more than suburban ones

A 20-desk office move in Cheltenham takes a crew of 3 a day and costs around $2,400. The same move into a Collins Street tower can run $4,000-$5,000. The furniture is the same. The truck is the same. What's different is the access.

CBD towers manage tenant moves through freight-lift bookings and loading dock windows. Every building has its own rules, but the pattern is broadly:

  • Freight lifts are booked in blocks (usually 2-hour slots), sometimes months ahead for larger buildings. Miss your slot and you wait for the next block.
  • Loading docks have narrow windows for trucks — often 30-45 minutes per booking. Multiple loads mean multiple bookings, or the truck idling in a laneway.
  • Business hours restrictions apply in most premium towers — no freight lift access between 9am and 5pm on weekdays.
  • After-hours access often requires building manager attendance, which is sometimes charged to the tenant.

All of this cascades into crew hours. A dock window that runs long means the truck waits, the crew waits, and the meter runs.

"Book the freight lift before you book the movers. Most tenants do it the other way around, and discover the freight lift is booked out when they call the building manager three days before the move."

Trick 1: Book the freight lift before you book the movers

Most tenants call the removalist first, agree on a Saturday, and then discover the freight lift is booked out. The right order is:

  1. Call the building manager for your current office and the new one. Ask about freight-lift bookings, dock permit requirements, and after-hours access.
  2. Get available slots at both ends. Pick a matching window — usually a weekend.
  3. THEN book the removalist to that window.

Building managers for Rialto, Bourke Place, 101 Collins, Collins Square and most Docklands towers respond in 24-48 hours if you call early in the week. Leave it to the Friday before your move date and you'll be renegotiating everything.

Trick 2: Weekend + morning is the cheapest 4-hour window

The economics flip on the day of the week and the time:

  • Weekday business hours: almost impossible in premium towers.
  • Weekday after-hours (6pm onwards): possible in most buildings, but you're paying the removalist an after-hours rate AND the building manager an attendance fee.
  • Saturday morning: the sweet spot. Freight lifts are typically open, building manager rates are lower, and removalists don't charge weekend loading yet.
  • Sunday morning: similar to Saturday but sometimes 5-10% cheaper on removalist rates.

Trick 3: Pre-pack the day before, move the day of

The biggest source of wasted time on CBD moves is packing at the loading dock. Boxes get labelled, files get sorted, and the freight lift window ticks down while nothing actually leaves.

The fix: your team pre-packs everything on the Friday before. Boxes labelled with destination room, files in labelled crates, everything on wheeled pallets where possible. Move day is loading only — no sorting, no last-minute decisions. A well-prepped 20-desk move loads in 90 minutes; an unprepped one takes 3 hours.

What to ask the building manager

  1. What's the freight lift booking window? (Daily hours + notice period)
  2. How large is the lift? (Height, depth, width)
  3. Is there a Certificate of Currency requirement? (Almost always yes — $10-20M PL)
  4. Do we need a floor protection agreement?
  5. What's the dock booking process — first come, first served, or time-slotted?
  6. Are after-hours access fees passed on to us, or bundled in body corporate fees?
  7. Any restrictions on how furniture leaves the building?

What a Melbourne CBD office move actually costs in 2026

For a 20-desk office moving from one CBD building to another, all-in Saturday morning:

  • 3-person crew, 8T truck: $2,000-$2,600
  • Building manager attendance fees (both ends): $200-$500
  • Certificate of Currency: usually included in the removalist's insurance
  • Skip bin for old furniture disposal: $300-$500
  • Total: $2,500-$3,600 for a well-planned move

The $4,000-$5,000 range from the intro? That's what happens when the freight-lift window closes mid-move and the crew comes back Sunday. Plan the access first, and you save that gap.
